Conditions of Engagement

Our engagement by a client to handle a project is based on the Fiji Association of Architects Conditions of Engagement which outline in detail all the responsibilitiesof both parties and tabulate a percentage scale of fees for architectural services in relation to building type and cost. In simple terms our percentage fees are calculated as follows:

Total Fee due exclusive of VAT = FAA scale % fee multiplied by total construction cost inclusive of VAT
For example: If FAA scale fee for a project is 10% & total VIP construction cost is $50,000.
Total fee due exclusive of VAT = 10% x $50,000= $5,000

The Total Fee can be divided into various work stages handled by the Architect and may be claimed from the client as these stages are completed. These basic work stages are:

Concept & Developed Design 15% of Total Fee
Working Drawings & Calling Tenders 65% of Total Fee
Contract Administration (Construction Phase) 20% of Total Fee

If a project is abandoned then fees are charged up to the applicable work stage, based on the estimated VIP construction cost. Disbursements such as building permit application fees, long distance travel, telephone, fax and courier charges etc. are all additional to the professional fee Building Contract Format

Once the building contract is awarded to the successful tenderer, administration of the contract by the Architect generally takes the following format:

  • Site Meetings (Client/Contractor/Architect) - held weekly or fortnightly.
  • Site Inspections (Contractor/Architect) - usually to coincide with meetings.
  • Payment Certification - issued monthly based on work completed to date
  • Punch List (outstanding/defective items) - issued prior to completion certificate
  • Semi-final Payment Certification - total contract amount except retention
  • Defects/Maintenance Period - generally a 6mth period following completion
  • Defects/Maintenance Inspection List - issued at end of Maintenance Period
  • Final Payment Certification - release of retention money after defects rectified
